Purpose & Definitions
This policy outlines how scheduled classes may be canceled by a School, how Schools are invoiced for canceled classes, how Teachers are compensated, and how Make-Up Classes are scheduled. The goal is to ensure transparency, predictability, and continuity of instruction for School Partners and independent contractor Teachers.
“School” refers to any educational institution, charter school, private school, school district, nonprofit organization, or partner entity that contracts with My Music Match (MMM) to provide instruction, workshops, performances, or related educational services.
“Term-Based Program” refers to a School partnership involving recurring, regularly scheduled instruction delivered over a defined term (for example, a semester, quarter, or school year) with a program start date.
“Teacher” refers to any independent contractor engaged by MMM to provide instruction, workshops, coaching, performances, or related services to a School. Teachers are not employees of MMM and are compensated in accordance with their Independent Contractor Agreement.
“Agreed Compensation Rate” refers to the compensation rate agreed upon in writing between MMM and the Teacher and documented in the Teacher’s onboarding materials or subsequent written communications.
“Scheduled Class” refers to any class, workshop, lesson, rehearsal, or instructional session confirmed on the MMM calendar and communicated to the School and Teacher.
“Force Majeure Event” refers to events beyond the reasonable control of MMM or the School, including but not limited to school closures, severe weather, unsafe conditions, natural disasters, government orders, public health emergencies, or other events that make instruction impractical or unsafe.
“Make-Up Class” or “Make-Up Day” refers to a rescheduled instructional session or day of instruction intended to replace a canceled Scheduled Class or Scheduled Day
Cancellation Notice Procedure
To cancel a Scheduled Class, the School must notify MMM in writing with sufficient detail regarding the class and date being canceled.
MMM will notify the Teacher as soon as reasonably possible during standard business hours. If notice is received outside of business hours, the Teacher will be notified on the next business day. For the purposes of this policy, cancellation timing is based on when the Teacher receives notice of the cancellation.
The School is responsible for providing MMM with sufficient notice to allow MMM to notify the Teacher within the applicable cancellation window.
Standard Cancellation Window
Schools may cancel Scheduled Classes without invoicing or payment obligation if the Teacher is notified at least fourteen (14) days before the scheduled class date.
The fourteen (14) day cancellation window aligns with MMM’s pay period cycle. Teachers commit to Scheduled Classes in advance and may be unable to secure replacement work on short notice if a class is canceled. This cancellation window is intended to respect Teachers’ time and scheduling commitments while providing Schools with reasonable flexibility to adjust programming.
Late School-Initiated Cancellation
If a School cancels a Scheduled Class with less than fourteen (14) days notice to the Teacher:
The School will still be invoiced for the canceled class, as MMM and the Teacher have reserved time and resources for the scheduled instruction.
The Teacher will be paid for the canceled class in accordance with the Agreed Compensation Rate.
Partial Cancellation
If a School cancels only certain periods, or programs within a Scheduled Class day, this policy applies only to the canceled portions and does not affect non-canceled instruction.
Force Majeure and School Closures
If a Scheduled Class is canceled due to a Force Majeure Event, including school closures, severe weather, unsafe conditions, government orders, or similar events outside the control of the School and MMM:
The School will not be invoiced for the canceled class.
MMM is not required to pay the Teacher for the canceled class.
Make-up Classes & Payment Timing
Standard Cancellations
When possible, MMM will coordinate with the School and Teacher to schedule a Make-Up Class or Make-Up Day to replace canceled instruction.
Teachers will be paid during the pay period in which the Make-Up Class or Make-Up Day occurs, in accordance with the Agreed Compensation Rate.
Force Majeure Cancellations
For Force Majeure Cancellations with less than fourteen (14) days notice to the Teacher, MMM may schedule a Make-Up Class or Make-Up Day when feasible.
In such cases, Schools may be invoiced during the pay period of the originally scheduled canceled class, and MMM may issue Teacher payment during the pay period of the originally scheduled canceled class, with the understanding that instructional services will be delivered on the Make-Up Class or Make-Up Day.
Any payment issued prior to a Make-Up Class or Make-Up Day is subject to adjustment or recoupment if the Teacher does not complete the Make-Up Class or Make-Up Day as scheduled.
Make-Up Class Attendance & Payments
Teachers are expected to attend the full scheduled Make-Up Class or Make-Up Day, including all assigned periods and instructional time.
Payment issued prior to a Make-Up Class or Make-Up Day is contingent upon the Teacher completing the Make-Up Class or Make-Up Day as scheduled.
If a Teacher is not present for the full scheduled Make-Up Class or Make-Up Day, MMM reserves the right to deduct pay for any missed time from the Teacher’s deposit, including but not limited to:
Arriving late
Leaving early
Missing individual periods or scheduled instructional blocks
Missing the full Make-Up Class or Make-Up Day
Deductions will be calculated based on the Teacher’s Agreed Compensation Rate.
Term-Based Program Start Dates
For Term-Based Programs, proposed schedules and program start dates communicated to Teachers are tentative and subject to change as Schools finalize class schedules and program plans in coordination with MMM. Proposed schedules and start dates do not constitute guaranteed instructional dates until classes have begun.
For the purposes of this policy, the cancellation policy becomes effective on the first day Scheduled Classes are actually rendered to the School.
If classes are canceled due to a delayed program start, the School may be subject to invoicing for canceled classes, and the Teacher may be paid for canceled classes, at the discretion of MMM. We will review delayed start situations individually, and invoicing of the School and compensation of the Teacher will be determined on a case-by-case basis.
Communication & Coordination
MMM will notify Schools and Teachers of cancellations and Make-Up scheduling as soon as reasonably possible during standard business hours. MMM will coordinate scheduling, invoicing, and payment logistics directly with both Schools and Teachers.
MMM seeks to balance the interests of Teachers and Schools by advocating for Teachers’ time and commitments while maintaining collaborative, long-term School partnerships. All decisions will be communicated clearly and handled in good faith to support ongoing program success.
Policy Updates & Revisions
We may update this policy as our programs and operations evolve. We’ll notify Schools and Teachers of material changes. This version will supersede any prior versions.
