Purpose
These Personnel Policies outline expectations and procedures for Teachers working with My Music Match. “Teacher” refers to individuals providing instructional services through My Music Match as independent contractors, unless otherwise agreed in writing.
Equal Opportunity & Non-Discrimination
My Music Match is committed to equal opportunity and does not discriminate on the basis of race, color, religion or creed, gender, gender identity or expression, sexual orientation, national origin or ancestry, age, disability, marital status, veteran or military status, or any other protected status.
Anti-Harassment
My Music Match maintains a professional environment free of harassment, including sexual harassment and harassment based on any protected characteristic.
Prohibited conduct includes unwelcome advances, comments, jokes, images, or any behavior that creates a hostile environment. Use of My Music Match systems or tools to access or share such material is prohibited.
Disability Accommodation (ADA)
My Music Match will provide reasonable accommodations to qualified individuals with disabilities to enable participation in the application process and performance of essential responsibilities, unless doing so would cause undue hardship. Requests are reviewed on a case-by-case basis..
Background Checks & Clearances
All Teachers must complete a background check as part of onboarding. Certain assignments, particularly School Partner programs, may require additional screenings, fingerprinting, or clearances as required by law or the host institution.
Teachers are expected to complete all required steps promptly to remain eligible for placement.
Scope of Services
Teachers are independent contractors, not employees. Teachers control how they perform services, subject to assignment requirements and My Music Match policies. Each student, school program, event, or project is an “Assignment,” and service details and compensation are confirmed in writing.
Private Lessons: Written assignment details will include rate, session length, and logistics, confirmed in writing or through a My Music Match form prior to the start of services.
School-Partnerships: Written assignment details will include schedule, calendar, reporting requirements, and on-site responsibilities, provided in writing prior to the start of services.
Services Provided to Students and Families
For private lesson programs, My Music Match provides students and families with centralized scheduling, billing, and program support, including:
Automated lesson confirmations and reminders
Payment processing within two (2) business days after lesson completion
Communication and scheduling support
Educational and performance opportunities
Services Provided to Teachers
For private lessons, My Music Match provides:
Access to the My Music Match scheduling platform (Acuity) for lesson scheduling, status tracking, appointment reminders, and optional calendar synchronization with Google and iCal
Enforcement of the My Music Match twenty-four (24) hour cancellation policy for private lessons, under which Teachers are paid for late cancellations
Administrative support related to billing, scheduling, and communication
Marketing support and promotional opportunities
Educational opportunities and resources
Student outreach and re-engagement efforts to maintain consistent lesson participation
Twice-monthly direct deposit payouts
Annual 1099 tax documentation
For School Partner programs, My Music Match provides:
Coordination with School Partners to establish teaching dates and schedules
Written teaching schedules and calendars, including program start dates, holidays, and planned non-teaching days when available
Provision of substitute teachers when possible to maintain program continuity
Enforcement of the School Partnership Cancellation Policy, including notice periods and compensation for canceled classes
Group chats or designated communication channels with School Partner contacts for scheduling updates and day-of coordination
Attendance sheets or time-reporting tools for Teachers
Twice-monthly direct deposit payouts
Annual 1099 tax documentation
Professional Conduct & Ethics
Teachers are expected to:
Prioritize student safety, well-being, and learning outcomes
Act with honesty, integrity, and professionalism at all times
Treat students, families, school staff, and My Music Match staff with respect and courtesy
Avoid conflicts of interest and promptly disclose any potential conflicts to My Music Match
Comply with all applicable laws, school-site rules, and My Music Match policies
Maintain appropriate professional boundaries with students, particularly minors
Respond to My Music Match, student, and School Partner communications in a timely and professional manner
Safeguard confidential and proprietary information related to students, families, School Partners, and My Music Match operations, and use such information only as necessary to perform services, consistent with the Independent Contractor Agreement (ICA)
School Partnership Teachers are expected to:
Communicate professionally with school administrators, teachers, students, and families
Arrive on time and follow all school check-in, visitor, and security procedures
Follow classroom protocols, dress codes, and student safety policies
Maintain appropriate professional boundaries with students and school staff
Provide prompt notice of absences, tardiness, or schedule changes to My Music Match
Follow any site-specific reporting, attendance, or documentation procedures communicated by My Music Match
Failure to meet these expectations may result, at the discretion of My Music Match, in reassignment of individual students, removal from a School Partner program or position, or termination of engagement with My Music Match, in accordance with the Independent Contractor Agreement.
Reporting & Payouts
Private Lessons
Compensation for private lesson Assignments is confirmed in writing prior to the start of services and is calculated as follows:
For students that engage through My Music Match, or related introductions, the Teacher retains 70% of the lesson price and My Music Match retains 30%.
For students assigned to the Teacher who were introduced through joint marketing or promotional efforts where prospective students or clients are directed to the Teacher by referral link, the Teacher retains 90% and My Music Match retains 10%.
For students or individuals independently taught by the Teacher prior to any My Music Match introduction, the Teacher retains 90% and My Music Match retains 10%.
Instructions for scheduling and confirming lessons are provided with the first Assignment. Teachers providing private lessons must schedule lessons in Acuity, use the required lesson status labels, and update lesson status by 10:00 a.m. the following day.
School Partnership Assignments
Compensation for School Partnership Assignments is determined on a per-job basis, per school year and site, or per event, and may include an agreed-upon hourly teaching rate and any applicable paid break-time or event rates. Compensation details are provided in writing prior to the Assignment.
Time reporting instructions are provided in writing with onboarding materials for each Assignment. For Term-Based Programs (recurring, regularly scheduled instruction delivered over a defined term, such as a semester, quarter, or school year), Teachers must update their assigned attendance sheet by the end of the last scheduled instructional day of each pay period.
Payout Schedule
Payments are issued on the 15th and 30th of each month (or the preceding business day).
Timely submission of scheduling updates, lesson status labels, and time reporting is required for payment processing. Late or incomplete reporting may delay payment, consistent with the Independent Contractor Agreement.
Taxes and Expenses
Teachers are responsible for all federal, state, and local taxes and for any expenses incurred in connection with their services, unless expressly agreed otherwise in writing.
Scheduling & Cancellations
Teachers coordinate private lesson scheduling directly with students and families. If running late, Teachers are responsible for providing the full lesson duration unless otherwise agreed. If canceling, Teachers must notify the student as soon as possible; My Music Match may assist with rescheduling.
Schedules are set in advance with School Partners by My Music Match. Teachers must adhere to assigned schedules and promptly notify My Music Match and the school contact of absences or delays. Site-specific procedures must be followed.
Collaborative Marketing
When My Music Match conducts Collaborative Marketing that directs prospective students or clients to a Teacher by referral link, Teachers agree to act in good faith and to:
Teach those Students through the My Music Match scheduling, billing, and administrative systems.
Redirect any direct inquiries, booking requests, or payment offers from such students or Related Parties to the My Music Match
Refrain from negotiating, accepting payment, or providing paid services independently to such students or Related Parties outside of My Music Match.
Contractor-Originated Students
Teachers are welcome to bring their own private students to My Music Match to continue lessons with them.
In these cases, the Teacher agrees to:
Schedule and manage lessons through the My Music Match scheduling platform (Acuity), as required.
Follow all My Music Match procedures for lesson status updates, attendance reporting, and time tracking.
Comply with all My Music Match policies related to billing, cancellations, communication, and administrative processes.
These Students may not receive instruction both through the My Music Match and independently from the Teacher at the same time.
If the Teacher elects to discontinue lessons through My Music Match and resume teaching the Student independently, the Teacher must notify My Music Match in writing before discontinuing lessons through My Music Match.
Non-Solicitation
Teachers are free to work with students and other organizations that were not introduced to them by My Music Match.
Teachers may not independently solicit, negotiate, accept payment from, or provide paid services to any student, family, school, organization, or individual introduced directly or indirectly through My Music Match. This includes any related parties or referrals connected to those individuals or organizations.
Examples of covered services include private lessons, coaching, performances, recording sessions, workshops, events, or other paid opportunities.
Teachers must promptly redirect any direct hiring or service requests from Company-introduced individuals or related parties to My Music Match.
Conduct Concerns
My Music Match may address performance or Teacher conduct concerns through coaching, documentation, reassignment, or termination of the working relationship in accordance with the Independent Contractor Agreement. A formal progressive discipline process is not required.
Grievances
Teachers who believe they have been treated unfairly or that a policy has been violated should contact info@mymusicmatch.org. My Music Match will review concerns promptly and take appropriate action. Reports will be handled confidentially to the extent possible, and retaliation for raising a concern in good faith is strictly prohibited.
If a Teacher is uncomfortable reporting a concern through the general contact channel, or if the concern involves My Music Match leadership, the matter may be escalated to liana@mymusicmatch.org.
Policy Administration & Updates
My Music Match may update, revise, or rescind these Personnel Policies from time to time as programs, partnerships, and operational needs evolve. Material changes will be communicated to Teachers in writing.
This version will supersede any prior versions of these policies.
